How we set about capturing your event depends largely on the type of event and what you would like to achieve. Our aim is always to be as supportive and unobtrusive as possible. When we capture an event, we never film the audience directly; although we do capture audience participation on audio where appropriate.
We talk to you before the event about how the event will be run: location, timing, expected attendance, layout and audio-visual support. We need to know, for example, how many sessions there will be and the likely number of speakers per session. Will there be an informal dialogue with the audience or a structured Q&A session? The answers to these questions will help us determine how we will capture the event on the day. We also need to know as much as possible about format. Will presenters be using PowerPoint. Are they planning to use a whiteboard or flipchart. If so, we will record what is written electronically and incorporate it into the captured presentation. Perhaps they will be showing web pages or using a spreadsheet. Again, this work will be captured. Generally, the more information in advance of the day the better.
When it comes to processing the captured material, we may suggest enhancements to improve the final published product. For example, we may suggest adding annotations to highlight text on slides or adding additional web links and attachments to provide additional resources for users.
